Duties & Responsibilities
An operational role to ensure the efficient running of the Partnership Board and its Committees.. Delivering a consistently exemplary experience to internal and external customers is a critical part of the job. It will suit an individual who is structured and organised and takes a flexible and positive approach to handling multiple tasks. An important aspect of the role is the ability to communicate confidently, concisely and clearly at all levels and most importantly with our directors who are our main customers. The role holder is responsible for identifying and communicating opportunities for continuous improvement and greater efficiency in the board administration process. Takes ownership for achieving business and personal objectives.
In conjunction with the Company Secretary, provide administrative support for the meetings of the Partnership Board and its Committees, and the Chairman's Committee to include: • Prepare a draft calendar of meetings for the year; • Prepare a draft forward planner of meetings for the year; • Maintain a schedule showing all relevant Board/Committee Meetings, send out meeting invitations and liaise with Secretaries/PA's of relevant Directors to ensure that deadlines are met for the submission of papers; Provide administrative support for the meetings of our Executive Partnership Groups and the Partnership's charitable foundations. Attend to the routine regulatory filings at Companies House, maintenance of statutory registers, renewal of licences, maintenance of minute books and providing extracts from minutes as appropriate. Ensure that statutory and other information contained on the Blueprint and BoardPad databases is accurate and kept up to date.
Required essential experience skills and qualifications
Ability to perform the role and manage work according to tight deadlines and changing priorities with good attention to detail and maintaining a flexible approach. Maintain the highest standards of confidentiality in respect those matters which are commercially sensitive Ability to liaise with tact and diplomacy at all levels throughout the Partnership. Previous administrative experience working at Board level.
