We are looking for someone to join a team of Doctors Admin Assistants, working alongside Doctors to ensure a smooth patient experience.

The University Hospital Southampton NHS Foundation Trust provides services to 1.9 million people living in Southampton and south Hampshire, while also providing specialist services such as neurosciences, cardiac services, and children's intensive care to the wider area.

The Trust is made up of 6 locations with Southampton General Hospital being the largest, running specialist services, emergency, and critical care along with outpatient clinics, diagnostic and treatment work, surgery, research, education and training. This is a large and busy site.

We have an ongoing placement available for a Doctors Admin Assistant within Cancer Care & Haematology at Southampton General Hospital (Tremona Road, Southampton, SO16 6YD)

If your not already on the bank you will need to be able to provide a reference covering a 6-month period of employment within the last 3 years .

The working hours are Monday to Friday, 8.00 - 16.00 totalling 37.5 hours a week.

This is a band 3 post and paying £10.81 an hour.

This role is pivotal in working with the Multi Disciplinary teams within the Cancer Care and Palliative care wards' to capture and transcribe all patients past medical history from current and previous admission episodes. You will be ward based and this is a patient facing role which also involves commuting via telephone and email, organising patient records, requesting patient tests and using charts.

Duties includes:
  • To accurately capture and transcribe all patients past medical history from current and previous admission episodes to the Doctors Worklist (DWL) and create the initial e-Discharge summary process for each patient for completion by the medical team.
  • To input and check all patient data is correct utilising Trust systems and reports and to facilitate the compliance of correct data for each patient to ensure that a co-ordinated and streamlined administrative process revolves around the patient and their individual needs, support the junior doctors as knowledge improves
  • Maintain the DWL to ensure all admissions are kept up to date in terms of bed location, ward, consultant teams etc.
  • Attend morning handover to identify all new overnight admissions and changes to care plans.
  • Identify outstanding test bookings, referrals, scan results and chase if necessary.
  • Access results, scans and previous records to assist the clinical teams decision making.
  • Arrange follow up appointments/treatment bookings
  • Provide basic administrative support to the multi professional team working in the Division including, but not limited to, answering the phones, taking messages, maintain records, update ADT data and assist patients/visitors with queries.
  • Engage in completion of weekly reporting figures to the clinical teams.
  • To interact with patients and relatives when required.

They are looking for someone who
  • Ideally has previous knowledge of hospital systems including charts & eCamis
  • Has strong administrative and organisation skills being able to work well under pressure
  • Has ideally previously work as part of a clinical service or customer focused environment.
  • To build strong working relationships with the multi professional teams
  • The ability to work unsupervised, be responsible for own workload and quality of work. Be able to work as an individual and as part of a team.
  • Be able to offer a degree of flexibility in working hours to cover annual leave, vacancies and peaks and troughs of activity as business requires.
  • Is proficient in all aspects of Microsoft Office.
  • Has knowledge of medical terminology
  • Has excellent communication skills
  • Has a high attention to detail at all times
