The Equipment Administrator supports the Equipment Manager by tracking and billing equipment, vehicles and other company assets. The position is responsible for creating monthly invoices for projects and purchases and performing bookkeeping duties. In addition, the Equipment Administrator compiles monthly reporting of equipment utilization and billing to support equipment projections and budget. The Equipment Administrator must be a team player and have strong organizational and reporting skills. Work may be performed in an office environment, a construction jobsite environment and a warehouse environment.

What You'll Do:

  • Work with Equipment Manager and colleagues on day-to-day activities

  • Support the equipment rental program;
  • Track tools and equipment and update systems (ToolWatch, JD Edwards, etc) to maintain accurate inventory.
  • Prepare and process equipment and delivery transfers.
  • Data entry, record keeping and filing of equipment and fleet related material. I
  • Communicate with Operations, IT, Fixed Assets, Finance, and Accounts Payable/Receivable to ensure policies and procedures implemented
  • Maintain and update vehicle and equipment inventory fleet software
  • Respond to requests from locations that are in need of registrations, title issues, fuel card, insurance and general information requests both internal and external.
  • Manage annual fleet registration with Washington State Department of Licensing
  • Assign all Cost Centers, Cost Codes, and contracted rates to projects.
  • Assist with monthly/quarterly equipment forecasts and yearly budgets;
  • Assist project teams with financial audits on projects;
  • Data entry and reporting related to the annual revenue forecast;
  • Report on annual equipment budget;
  • Track all expenditures and code costs appropriately;
  • Review equipment and material purchases for best value;
  • Complete expenditure requests for management approval;
  • Assist with the implementation of new strategies for financial gain opportunities;
  • Complete monthly cost reports for management overview;

  • Other administrative activities as assigned.

  • Proficiency with Microsoft Office suite;
  • Strong written and verbal communication skills;
  • Ability to effectively prioritize multiple tasks;

  • Good time management and organizational skills

  • Prior experience bookkeeping;
  • Broad understanding of construction industry;
  • Prior experience tracking warehouse equipment;
  • Prior experience using JD Edwards.
  • High school degree required;
  • Bachelor Degree preferred;
  • 1-2 years of construction experience preferred.
