Office Administrator at :

We are actively seeking a highly motivated and enthusiastic Office Management Specialist to take care of the smooth running and general happiness of our fast-growing San Francisco office.

Passion and enthusiasm will be key, driving forward new processes and procedures as we scale.

This role requires a 'can-do' attitude, always thinking two steps ahead with a friendly and approachable personality. This role also provides a great opportunity for progression and growth.

What you will be doing:
    • Being the first point of contact for all People Experience (office) matters
    • Providing an amazing visitor experience to company guests
    • Answering the phone professionally, taking messages and transferring calls.
    • Administrative support for San Francisco office including managing office suppliers, catering, courier logistics, meeting room bookings and other operational tasks
    • Organizing and maintaining electronic and paper filing systems
    • Supporting office renovation and/or relocations
    • Maintaining premise maintenance audits and organizing repairs
    • Keeping the office adequately stocked with supplies while monitoring tidiness daily
    • Budget planning and expense vendor management
    • Assisting HR Manager and IT teams with New Starter onboarding (e.g. setting up desks or collecting returned equipment)
    • Providing assistance in coordinating office activities and employee events
    • Accountable for end-to-end office administration
    • Office access card management for all employees
    • Managing first aid supplies
    • Assisting the central People Experience team with ad-hoc projects
    • Ensuring health and safety compliance
    • Other duties as assigned

About you:
    • 5+ years in a similar/comparable role
    • Intermediate proficiency with MS Office, Excel, Outlook and Google Apps
    • Great interpersonal skills and ability to thrive in a fast-paced start-up environment
    • Attention to detail and strong organizational skills
    • Ability to work proactively and anticipate needs
    • Ability to handle administrative details independently while exercising good judgment in keeping team members adequately informed
    • Hands-on, always ready to roll up your sleeves and go the extra mile for the team
    • Excellent written & verbal communication skills
    • Previous administrative or front desk administration experience
