The opportunity

The role will be providing support to the managing director of the international technology unit of the business.

Your responsibilities will include:
  • Providing extensive diary management with the ability to deal with potentially conflicting appointments and different time zones.
  • Coordinating and facilitating specific meeting groups. Taking ownership of BU meeting governance pack.
  • Attending meetings and note-taking as required.
  • Managing emails on behalf of the managing director.
  • Managing, responding and liaising with stakeholders on behalf of individuals.
  • Planning ahead, juggling multiple demands and minimising conflicting pressures.
  • Coordinating communications, including providing polite and professional assistance via phone, mail, e-mail and visitors to our offices, with the ability to operate multiple communication platforms such as Teams, Zoom, Bluejeans and Google Meet.
  • Producing highly accurate documents in line with templates and quality requirements e.g. presentations, minutes and reports.
  • Arranging travel, visas and accommodation, plus manage travel itineraries.
  • Providing accurate reconciliation of monthly expenses.
  • Managing and correctly submit weekly timecards.
  • Administering customer relationship management activity.
  • Providing project coordination - onboarding of new starters, annual talent, staff and numeration reviews.
  • Overseeing and playing an active role in the management of project administration.
About you

You have a GCSE qualification as a minimum - subject must include English and Maths. You will have personal assistant experience at a senior level. You are digitally savvy in using Microsoft 365 and with knowledge of SharePoint. You can build lasting relationships and will provide support to multi-disciplinary teams. You will have administration experience in construction or project management background and be hungry to grow your career and enjoy the opportunities Mace has to offer.
