The Proposal Coordinator enforcescorporate branding standards at all times and protects the brandingrequirements of our partners and subcontractors as well the ProposalCoordinator is responsible for independently producing content forqualifications, project proposals, award submittals, presentation materials andother various project proposals and marketing related collateral.

The Proposal Coordinator will alsoassist with brochures, trade shows and other business development efforts.

What You'll Do:

While assigned to a prospectivepursuit effort, the primary responsibility of the Proposal Coordinator is tosupport the Proposal Manager and pursuit team by independently developingqualifications document content and content of the technical volume of theproposal to ensure timely completion of a compliant document. They areresponsible for independently determining and ensuring that the entirequalification/proposal documents, are compliant and included in the submittal.The job activities are divided into the following activities: Early PreparationWork, Proposal Development, Production, and Post-Production Activities.

Early Proposal Activities
  • Analyzes and interprets Requests for Information (RFIs), Requests for Qualifications (RFQs), and Requests for Proposal (RFPs) to identify requirements for entire proposal submittal
  • Develops the qualifications or proposal compliance matrix and summarizes the Evaluation Criteria, which are used to guide the proposal team during proposal development
  • Coordinates proposal schedule milestones (section due dates, reviews, production, etc.) with the overall pursuit schedule, which is developed by the Proposal Manager and Design-Build Manager/Sponsor/Lead Estimator
  • Participates in the initial Kick-off meeting by co-presenting (With the Proposal Manager) the compliance matrix, evaluation criteria, table of contents, and proposal development schedule with the team
  • Works with Proposal Manager, Design-Build Manager/Sponsor and team to identify writing assignments
  • Provides support to Proposal Manager in facilitating Strategy- to-Win sessions for the proposal including a Key Issue Analysis; Goals, Issues, Features, Benefits, Proofs; Proposal Strategy Document; and Win Themes for authors to incorporate into their sections
  • Researches company experience using internal databases and past proposals to provide go-by material for the team
  • Coordinates the proposal schedule and production requirements
  • Ensures SharePoint database is established

Proposal Development
  • Creates SOQ/Proposal resumes, project profiles, organization charts, and draft narrative content for non-technical sections
  • Works within the InDesign documents to input and edit content, adjust content layout and provide general editing and formatting
  • Works with the Proposal Manager, Design-Build Manager/Sponsor/Lead Estimator to support the development of the preparation of responses to RFI's, RFQ's and RFP's
  • Works with the team to ensure all proposal development durations and milestones are incorporated within the SOQ or proposal production schedule
  • Participates in, or conducts the "Writers Workshop" and regularly provides functional guidance to proposal authors
  • If needed, has responsibility for ensuring various Skanska entities are informed of the need to complete forms and establishes schedules for their completion
  • Organizes and documents communications and meetings with authors
  • Interacts with authors to address questions, check their progress, ensure compliance, and keep the Proposal Manager informed about status of progress on sections, adherence to schedule, and quality of composition
  • Works with the graphic designer to prepare proposal content design and layout including project descriptions, descriptions of functional capabilities, and resumes
  • Supports proposal color reviews including managing the collection, assembly, and distribution of draft materials, participating in reviews of draft documents, and incorporation and distribution of comments to authors
  • Collects, compiles and distributes color review comments and follows up on their completion
  • Participates in the response to the reviews; edits content for proper grammar, logic, and readability; and polishes document to incorporate missing strategy elements

Production and Post-Production Activities
  • Responsible for and oversees final printing and assembly the SOQ or proposal
  • QC of final printed and electronic copies
  • Ensures appropriate delivery methods and contingencies have been secured to submit the SOQ or proposal by its deadline
  • Responsible for distribution of internal copies to designated team members
  • Responsible for maintaining proposal files, including library copies, CDs, Archives, and input into the Share Directory of classic graphics and topic write-ups
  • Responsible for closing out each proposal
  • Between proposals, contributes to the development of marketing collateral to support sales efforts by obtaining and incorporating ongoing project information into marketing databases
  • For pursuits that require interviews:
    • Responsibilities include creating the interview prep schedule with the lead interview coach
    • Works with the Sponsor to assign coaches
    • Creates the presentation materials (boards, PowerPoint presentations, placemats, name tags, etc.)
    • Attends all interview practices and assist the coach with Q&A, situation practices, presentation practices and provide feedback
    • Pulls previous Q&A lists, and situation practices as starting points for the team

Except as otherwise provided, theProposal Coordinator works independently in analyzing information and exercisesdiscretion in creating the proposal document.

We're Looking For:
  • Ability to manage responsibilities independently with minimum or no day to day direction and supervision in performing expected duties and responsibilities
  • Ability to effectively communicate with and work with pursuit team members outside of the proposal group, including joint venture partners, designers and subcontractors in a positive and collaborative manner without conflict
  • Understands desktop publishing, presentation and other marketing related software, especially Adobe CC, including InDesign, Illustrator and Photoshop, Microsoft Office Suite, Outlook, SharePoint, FTP sites, video conference/sharing and other marketing-related applications. InDesign, Adobe Pro, and Word are especially important
  • Basic understanding of construction and/or engineering industry and ability to learn new construction and engineering concepts that are presented to you during the course of pursuits.
  • Functions effectively as part of a team
  • Ability to work with upper management within Skanska and with other companies
  • Ability to maintain discretion and confidentiality at all times
  • Advanced skills in time management, organizing, writing, proofreading and editing
  • Ability to multitask and meet aggressive deadlines
  • Strong writing skills including an understanding of the elements of style and English grammar
  • Ability to manage, plan, coordinate, and organize one's own and other's work schedules and products
  • Ability to focus people, deal effectively but calmly with others, and explain proposal concepts to help team members understand their responsibilities
  • Ability to be proactive in the data collection process and identify areas needing additional support early in the process
  • Ability to be collaborative
  • Four-year business or technical degree or equivalent combination of education and experience in the construction and/or engineering industry with a similar high volume environment
  • Minimum 3 years of prior marketing experience in construction and/or engineering industry in similar capacity desired
  • Experience with design-build, CMAR, CMGC and/or P3 proposals is desired.
  • Understanding of the heavy civil or large project construction industry is preferred.
  • Strong writing experience including ability to constructively create written content using technical information that is provided by others.
