We are looking for a PA who can help ensure a steady ship.

The University Hospital Southampton NHS Foundation Trust provides services to 1.9 million people living in Southampton and south Hampshire, while also providing specialist services such as neurosciences, cardiac services, and children's intensive care to the wider area.

The Trust is made up of 6 locations with Southampton General Hospital being the largest, running specialist services, emergency, and critical care along with outpatient clinics, diagnostic and treatment work, surgery, research, education and training. This is a large and busy site.

We have a 2 month placement available for a Radiotherapy PA at Southampton General Hospital (Tremona Road, Southampton, SO16 6YD), which could be extended.

The role starts as soon as possible and is ongoing until the role is filled on a permanent basis, which could be offered to the successful temporary worker.

To start you will need to be able to provide a reference covering a 6-month period of employment in the last 3 years .

The working hours are Monday to Friday, 8.00 - 16.00 or 9.00 - 17.00, totalling 37.5 hours a week.

This is a band 4 post and paying £12.35 an hour.

This role is a department PA supporting several managers and their wider team with the day to day running of the department.

The successful candidate will be working in an office that has been covid-19 assessed for 3 and only when there is an additional colleague, working on the spare desk, will they need to wear a mask.

Duties include;
  • To organise and prioritise diary appointments, re-arranging when necessary, to take account of more urgent meetings/appointments as they arise, informing the manager(s) of any new, changes and urgent appointments.
  • To act as the first point of contact on behalf of the Radiotherapy Operations team, receiving their telephone calls, emails and responding efficiently and promptly to queries, either personally; by re-directing to the appropriate person/department; or taking a message, and ensuring that appropriate priority is given to urgent enquiries/matters
  • To arrange meetings, liaising with other secretaries/staff as appropriate to set a mutually convenient time/date. This may include the booking/arranging of a suitable venue, equipment and refreshments.
  • To prepare/draft meeting agendas and supporting paperwork, as appropriate, ensuring that this information is circulated to the relevant individuals in good time.
  • To attend meetings and take minutes/notes as required, initiating action on identified issues, as appropriate. To ensure that these are produced in-line with the agreed format, and distributed as necessary.
  • To open, sort/redirect and prioritise incoming post for the manager, as appropriate.
  • To draft letters and other documents for approval/amendment by the manager. To word-process (audio/copy-typing) and/or prepare a range of other documents, some of which maybe of a confidential/sensitive nature (e.g. reports, business cases, procedures, spreadsheets or presentations).
  • To develop and maintain an effective 'bring forward' system, and ensure that the manager is furnished with any relevant paperwork in advance of meetings/appointments.
  • To develop and maintain an accurate and current filing system.
  • Request covid-19 swab tests for patients.
  • To undertake and manage small projects/research on behalf of the manager and to provide a report on any findings.
  • To assist and provide cover for other PA's within the Radiotherapy senior Team during busy periods, sickness absence and annual leave.

  • Has strong administrative and organisation skills being able to work well under pressure
  • Is a strong meeting co-ordinator and able to take minutes at 3 weekly meetings
  • Is proficient in all aspects of Microsoft Office
  • Has knowledge of medical terminology
  • Has excellent communication skills
  • Has proven ability to work to deadlines, prioritise and multi-task.
  • Has a high attention to detail at all times
