This role entails…


To provide support for the Head of Pensions/Secretary to the Trustee and Trustees (for 3 Boards)

What do I need to get this role/job?


Minimum criteria 


  • You need to be able to work to strict deadlines but to be able to remain calm and  flexible to manage changes to meet the needs of a number of different stakeholders

  • Previous experience of calendar and email management experience is required because of the amount of meetings, etc to manage

  • Experience of Word, Excel, PowerPoint and Adobe Acrobat.

Key Criteria:


  • Providing full PA support to Head of Pensions/Secretary to the Trustee

  • You do not need to have worked in a pensions environment before as training will be given as required to fulfill the role

  • Supporting Director of Reward and Pensions in PA’s absence

  • Liaising with external (e.g. broad range of advisers and Trustees) and internal stakeholders to arrange meetings, which can be for up to 20 people

  • Managing relationships with all stakeholders and their PAs

  • Assisting with arranging Board and Committee meetings (approximately 20 a year) and preparing for these meetings (including arranging pre-meetings, collating and issuing packs, booking rooms and booking refreshments, preparing draft agendas and first draft minutes)

  • Arranging signatures for a number of important documents (within specified timescales) – liaising closely with the Preston team to understand requirements; and working closely with the Preston PST team to ensure a robust process is in place for issuance/receipt of documentation between the two sites and be fully involved with the development of an electronic approvals process 

  • Maintenance of electronic filing systems (for each pension arrangement) and be fully involved with the archiving project 

  • Arranging travel where required for Trustees

  • Review of processes to improve efficiency, etc

  • Maintenance and management of internal processes (holiday spreadsheets, training spreadsheets, expenses, etc) for Trustees

  • Setting up and ensuring all supplier invoices are paid on time, as well as keeping the budget tracker and supporting documentation completely up to date

  • Assisting with and supporting projects as and when required by the Reward/Pension team
