Office Manager

Supporting the Director of Rail, the Office Manager (Personal Assistant) will be responsible for the planning and organising of the work of the Director and initiating, coordinating and communicating information on their behalf. This is an agile working role, with a requirement to be in our Warwick Head office on an ad-hoc basis.
What you'll do:
You will have high level experience in an Office Manager / PA / EA role previously, with the ability to support a Senior Leadership Team. You will be highly organised, a confident and strong communicator as well as having the ability to manage multiple priorities at once.

Supporting the Director of Rail, the Office Manager (Personal Assistant) will be responsible for the planning and organising of the work of the Director and initiating, coordinating and communicating information on their behalf. This is an agile working role, with a requirement to be in our Warwick Head office on an ad-hoc basis.
What you'll do:
- Ensuring the effective and proactive diary management of the Director so that their time is utilised as efficiently as possible.
- Ensuring that any reports, documents and administrative tasks required by the Director, including the provision of briefing information to support all meetings, are completed to the agreed standard and timescale.
- To be responsible for the organisation, planning and co-ordination of meetings, events and projects.
- To manage the office of the Director, including, as the first point of call for all customers (internal and external), providing a professional customer service
- On behalf of the Director read and understand correspondence (including emails) and take appropriate action where necessary
- Support relevant SMT members including raising Oracle requests for overhead spend such as, external conferences, PPE etc. Also assist with raising of vacancies / contract extensions
- Look ahead and arrange travel / overnight accommodation for the Director when required.
- Submit the Directors expenses and ensure all employee expenses into the Director is reviewed regularly and approved
You will have high level experience in an Office Manager / PA / EA role previously, with the ability to support a Senior Leadership Team. You will be highly organised, a confident and strong communicator as well as having the ability to manage multiple priorities at once.
Key Requirements:
- Proven experience supporting Director level, as well as the wider SLT
- Experience managing a high, fast paced workload and the ability to work with minimal supervision.
- Excellent time management, prioritisation and communication skills
- Good understanding of Business Management Tools (MS Office Suite)
- Experience working with a HR / Financial system (SAP / Workday / Oracle)
