Your Role and What You'll Be Doing

Our Sheffield Tax, Trusts and Compliance team is a growing team providing Tax and Trust services to private clients. The department is responsible for completing significant volumes of tax returns, trust accounts, trust administration and trust registrations each year. We are now looking for an Operations Manager to join the team to support the department manager.

As Operations Manager you will work to manage continually improve all operational activity including work and resource forecasting, pipeline management, work prioritisation, work allocation, service levels, productivity, quality and importantly ensuring the team meet all regulatory deadlines.

The role can be based remotely (although you are welcome to work from your local office as and when preferred), with travel once a month to Sheffield for a team meeting and a short period of training in Sheffield upon starting.
  • Work very closely with the department manager and team members to ensure that tax returns, trust accounts and trust registrations are processed efficiently, accurately and on time to meet all required deadlines
  • Ensure the right reporting, controls and processes are in place to guarantee compliant service
  • Monitor overall performance of the department against defined Key Performance Indicators and identify areas for improvement, escalating risks and implementing action plans for improvement
  • Ensure all payments are completed accurately, on time and supporting with billing
  • Forecast future work volumes into the team to ensure the department has the correct resource levels
  • Design and document current and future processes, ensuring streamlined workflows are in in place
  • Manage key relationships with key internal stakeholders
  • Management of client onboarding process
  • Management of client housekeeping including review and issue of Terms of Business; closure of defunct files; and monitoring supervision requirements
  • Review and arrange appropriate technical training for the team in conjunction with the national training lead
  • Liaison with HMRC to follow-up unresolved client issues

About You

  • Demonstrable experience in a similar role for example; Operations Manager, Team Leader or similar
  • Good operational management experience in working in/leading in a high-volume complex area to meet quality, speed and regulatory objectives
  • Ability to manage expectations of multiple senior stakeholders and build positive relationships and a strong internal network to resolve challenges
  • Workflow, process and risk management experience
  • Confident in Excel, Word and Co Pilot or other AI software.
  • Experience of CCH Central Software would be beneficial but not essential
  • Experience of working for a Legal Firm/ Accountancy practice/similar professional services environment or experience within a Tax function would be beneficial but not essential
