Main Purpose of the Job
  • To be the firm's eDisclosure specialist embedding the single sourced eDisclosure supplier for the firm. To ensure that we deliver a streamlined, consistent and quality approach to managing eDisclosure matters including DSARs and investigations as well as litigation exercises.
  • A working knowledge of the civil procedure rules to the extent that they relate to disclosure and eDisclosure in particular and legal and procedural requirements that the firm is subject to. 
  • Working with Fee Earners to provide guidance on the planning and execution of all eDisclosure matter that the firm is engaged in. Training the teams in the usage and optimisation of the selected tool and monitoring and supporting the progress of the projects throughout its lifecycle. 
  • Acting as the interface between the disclosure team and the provider.  Sharing best practice and learning across DRG in the delivery of eDisclosure projects.
  • Providing on-going management and support of the eDisclosure supplier and processes.
  • Gaining an understanding functionality of the technical solution(s) offered by the eDisclosure provider.
Main Duties and Responsibilities

Budgetary / financial responsibility: 

  • Support Matter Fee Earners with cost budgeting  for eDisclosure exercises including DSAR and investigations and ongoing monitoring.
  • Monitoring supplier charges on matter and escalating issues with the Procurement team to the supplier.
  • Monitoring the profitability of the managed service as an internal charge to clients.

Key responsibilities:

  • Working under the direction of the Matter Fee Earners to identify and understand client needs, recommend technical solutions and deliver an effective solution throughout the life of a matter
  • Working as part of the eDisclosure team, supporting the success of the matter
  • Assisting with the set-up of the eDisclosure process – including estimating paralegals required and selection/setting them up/monitoring performance. Co-ordination with the Practice Operation Manager
  • Assist and enable internal stakeholders to work effectively with document review software, and with other relevant IT systems for handling case-related information document review software expertise
  • Training & ongoing support during disclosure projects to fee earners and paralegals to ensure that users understand the software and eDisclosure processes and are assisted in the resolution of relevant issues (e.g. problems with use of document review software) 
  • Spend time understanding each legal & evidential issue, and working with fee earners and partners managing the litigation, including providing advice to the client where necessary/ helpful
  • Conduct post-case reviews with the Gowling WLG team and the eDisclosure provider in order to improve standards and drive best practice
  • Work with procurement to ensure eDisclosure supplier reporting and KPIs are managed and monitored
  • Establish and maintain a good working relationship with the eDisclosure supplier, including to understand how solutions work and are best utilised by the firm
  • To the extent that problems arise, in consultation with the Team Leaders, Clark, fee earners and partners managing the litigation, trouble-shoot problems and to liaise with the eDisclosure provider to resolve any issues
  • Work with Team Leaders, Clark, fee earners and partners to develop, maintain and continuously improve best practice eDisclosure process Protocols
Key skills and experience
  • Experience of conducting or being part of a team that has conducted litigation and in particular eDisclosure.
  • Excellent understanding of the legal framework of eDisclosure, existing protocols, practices and relevant legal standards. Experience as a legal practitioner desirable.
  • Knowledge of e-disclosure applications such as relativity Financially literate
  • Strong teamwork skills and able to work under own initiative when required
  • Highly organised and effective at prioritising
  • Strong problem solving skills, with a proactive approach to dealing with multiple projects to strict deadlines
  • Consistently demonstrates good financial discipline and good time recording discipline
