PA to Head of Flood Forecasting Centre

Job Description


The Flood Forecasting Centre (FFC) is a partnership between the Environment Agency and the Met Office, combining our meteorology and hydrology expertise into a specialised hydrometeorology service.  The centre forecasts for all-natural forms of flooding - river, surface water, tidal/coastal and groundwater.

The role is integral in supporting the Head of the FFC to allow them to effetely deliver direction and leadership to all staff within the Centre, and in managing strategic relationships with stakeholders.


Job Purpose

To organise and manage the schedule and associated information flow of the Head of FFC to enable them to efficiently and effectively deliver their leadership role which includes developing and managing key relationships across the partnership with senior politicians and directors of stakeholder organisations.


Job Responsibilities
  • Organise the Head of Centre’s working day/week, through active diary management, travel arrangements and heavy email traffic.
  • Provide a single, reliable point of contact for partners and stakeholders ensuring communications and actions are correctly prioritised, and the appropriate information is available to the Head of Centre.
  • Maintain excellent knowledge of standard desktop and management information systems and work processes across both partnering organisations to support the Head of Centre in delivering their role efficiently and to the standard expected across the partnership.
  • Manage all visits to the FFC, ensuring all planning is co-ordinated with relevant partners and the experience is such that visitors receive a positive impression of the FFC that develops new or improves existing relationships.
  • Provide support to the Head of Centre and the wider FFC to enhance the professionalism of how we present information.
  • Support the Head of Centre in maintaining operational activity in the FFC, and prioritising other essential activity, during times of adverse weather and flooding to meet the FFCs aims and objectives; assist with the planning of temporary rosters; support incident briefings and help to ensure staff welfare arrangements are maintained.
  • Be prepared to be part of an on-call roster responding outside of normal working hours.
  • It maybe necessary to undertake national travel, with occasional overnight stays.


Essential Qualifications, Skills & Abilities
  1. Proven experience of excellent written and verbal communication skills
  2. Excellent organisational and interpersonal skills, identifying overlaps and gaps between information on management systems for both organisations and the ability to work to tight deadlines.
  3. Evidence of managing priorities, workloads and resources in order to support the delivery of customer services in a timely manner and to the required standard.
  4. Experience of dealing with situations that demand confidence and professionalism, involving communication with directors and senior officers across multiple organisations (including central government departments).
  5. Able to work independently and as part of a high performing team.

1. Evidence of successful decision making to solve problems working across different organisation
2. Ability to create impactful presentations
3. Experience of using audience appropriate language to ensure effective communication with members of the public, the scientific community, and emergency responder community.
