As the Select Committee Assistant Advisor at HS2, you will report directly to the Select Committee Advisor. The jobholder will provide logistical and administrative support for the Select Committee hearings during the passage of the Phase 2a Hybrid Bill. To work closely with the wider Parliamentary Team to ensure that Select Committee hearings and Conferences with Counsel are set up effectively and operate seamlessly each day. Play a key role in managing the administrative needs of the Select Committee, Counsel and Parliamentary Team.
About the role:
Support Select Committee sessions, ensuring all material for Committee Members, such as evidence bundles, petitions, petition response documents and key correspondence is ready and provided in advance.
Organise the distribution of the Select Committee material each evening
Manage the production and distribution of the team Select Committee rota, so all team members are aware of when they are required in Select Committee
Manage and send out meeting invitations to the wider Hybrid Bill Directorate and Technical teams at least two weeks in advance of each Select Committee hearing
Be responsible for managing and organising the facilities for the Counsel and Witness team; including refreshments, room bookings, Parliamentary and HS2 building passes and arranging for documents to be couriered to the Counsel Chambers as and when required
Distribute the daily digest and transcripts of the hearings to the HS2 organisation each day
Be responsible for ensuring transportation and refreshments are provided on Select Committee Site visits and that all material required for the visits are printed and available in a timely manner
Manage the recycling of all printed material from the Select Committee and Conferences with Counsel
Be responsible for ordering and maintaining the stationary supply for the team, and being the point of contact for all team travel requirements.
Provide senior administrative support for any ad hoc requests to ensure the smooth operation of Select Committee
Ability to manage multiple competing deadlines

Demonstrable knowledge of document management within a large complex project based environment
In-depth knowledge/application of MS Office, MS-Outlook, Adobe PDF (reader and writer)
Knowledge of Parliamentary processes and procedures
Knowledge of managing risks within a fast-paced project environment
Experience in managing the production of documentation for parliamentary Select Committees or equivalent
Experience of working in fast-paced environment
Experience of working to conflicting deadlines from a range of sources
Experience of providing senior administrative support to a small team
